How to Safely Transport a Tiered Wedding Cake (Step-by-Step)

Wedding cakes do not get damaged on the highway; they get damaged in the parking lot. Cakes that crack, slide, or smudge in transit nearly always do so because of one of three things: the cake was warm, the surface was unstable, or the driver braked hard. This is the procedure we send home with every wedding-cake pickup driver.
It assumes you are transporting a tiered cake we have already stacked and dowelled. If you are transporting unstacked tiers and assembling on site — which we strongly recommend for cakes over three tiers, or any wedding more than 30 minutes from Columbia City — most of these steps still apply, but final assembly happens at the venue.
Why the procedure works
A cold cake is a stiff cake. American buttercream sets firm at 38–42 °F. At room temperature it softens; above 75 °F it becomes structurally weak. The single most important thing you can do for a transported cake is keep it cold, in a flat box, on a flat surface, in a cool car, until it is set on the final display table.
Frequently asked questions
How far ahead of the wedding should I pick up the cake?
Pick up the cake 2–4 hours before guests arrive at the reception. Sooner is better than later — it gives you a buffer for traffic, weather, and final touch-ups at the venue. For a Saturday evening reception, a Saturday morning pickup at our Columbia City kitchen is the standard window.
Can I transport a tiered wedding cake in a sedan?
Not safely for cakes over two tiers. A sedan's trunk is hot, the floor is sloped, and the back seat is bouncy. SUVs, hatchbacks, and wagons with flat cargo floors are strongly preferred. We will tell you in the pickup notes if your cake should not go in a sedan.
What if the wedding venue is more than an hour away?
For drives over 30 minutes, we strongly recommend transporting unstacked tiers and assembling on site. We provide the assembly instructions, dowel placements, and a buttercream touch-up bag. Most experienced wedding planners and venues are familiar with on-site assembly.
Should I add fresh flowers before or after transport?
After. Always. Fresh flowers should be added at the venue, after the cake is on its final display surface. Transporting with florals risks bruising the cake and crushing delicate stems.
